Gamuda, a leading civil contractor organisation in the transportation infrastructure sector, has been shortlisted to participate in the RFT process for several major project tenders.  Gamuda is required to submit comprehensive proposals that demonstrate our ability to meet the technical, financial, and project management requirements outlined in the tender documents for multiple different major projects. This includes providing detailed plans for the execution of the works, risk mitigation strategies, and a clear approach to delivering the projects on time, safely and within budget.

 

About the Role.

We are seeking a highly skilled and organised Senior Bid Administrator to join our Major Bids Team. This role will be pivotal in supporting the preparation and submission of tenders for major construction projects, with an emphasis on large-scale infrastructure, commercial, and public sector developments. The Senior Bid Administrator will work closely with project managers, estimators, technical experts, and senior management to ensure the timely and successful preparation of high-quality bids submissions.

 

Duties and Responsibilities:

 

  • Tender Document Management: Download, manage and organise bid documentation, including technical specifications, drawings, pricing sheets, and contractual terms. File documents in physical and digital records. Manage the flow and distribution documentation within the tender team. Maintain up to date master client document register. Ensure all bid documents are stored in an organised and accessible manner using document management systems. Support the creation of high-quality tender templates and the upload of submission documents. Ensure Final submissions are saved to internal Submission Library.
  • SharePoint Management: Initial configuration of Tender SharePoint site. Oversee, audit and manage SharePoint permissions. Ensure SharePoint manuals and user guides are up to date.
  • Client Correspondence (RFI Management): Manage incoming and outgoing correspondence with client. Support the management internal RFI process including internal approvals and inputs. Maintain up to date RFI register.
  • Stakeholder Liaison: Serve as the primary point of contact for all bid-related communications between internal teams, external clients, and contractors. Ensure clear communication of tender requirements and timelines across all project stakeholders. Assist in organizing and participating in meetings, site visits, and pre-bid meetings to gather information and clarify client requirements.

 

Key Skills & Experience:

 

At least 2-3 years of experience in bid administration, preferably within the construction or transport infrastructure sectors, with exposure to large-scale tender submissions. Proven experience in preparing and submitting tenders for major projects, including infrastructure, civil engineering, commercial construction, or government projects.

 

  • High attention to detail and ability to multitask.
  • Intermediate skills in Microsoft Excel, PowerPoint, SharePoint and Word.
  • Well-honed and able to manage competing deadlines.
  • Ability to work independently and be self-initiative.
  • Ability to develop and maintain positive relationship with key stakeholders.
  • Strong organisational and time management skills, with the ability to manage multiple bids simultaneously and meet tight deadlines.
