About the Role:
The Document Controller will play a key role in supporting the bidding and tendering process for engineering projects within the pre-contracts business. Typically, this full-time position involves working in an integrated tender office on large, complex tenders with a duration of 4 to 6 months, as well as providing support for smaller tenders.
The role includes coordinating and managing all aspects of bid documentation and SharePoint setup. The successful candidate will collaborate closely with a multidisciplinary team to ensure that the bid process is effectively planned, managed, and executed, delivering high-quality proposals that meet both client requirements and company standards.
Duties and Responsibilities:
- Download, manage and organise bid documentation, including technical specifications, drawings, pricing sheets, and contractual terms.
- File documents in physical and digital records.
- Manage the flow and distribution documentation within the tender team.
- Maintain up to date master client document register.
- Ensure all bid documents are stored in an organized and accessible manner using document management systems.
- Support the creation of high-quality tender templates and the upload of submission documents.
- Ensure Final submissions are saved to internal Submission Library.
Qualifications and Experience:
Preferably Bachelor in Business or related discipline, CERT 4 in Office Administration / Business.
- Minimum of 3-5 years in a similar role with demonstrable experience with; Initial configuration of Tender SharePoint site.
- Overseeing, auditing and managing SharePoint permissions. Ensuring. e SharePoint manuals and user guides are up to date.
- Managing incoming and outgoing correspondence with client. Supporting the management internal RFI process including internal approvals and inputs.
- Maintain up to date RFI register. Serve as the primary point of contact for all bid-related communications between internal teams, external clients, and contractors.
- Ensure clear communication of tender requirements and timelines across all project stakeholders.
