We are currently delivering the Sydney Metro West – Western Tunnelling Package, Sydney Metro – Stations Package West and in joint venture partnerships for both the $1.35B Coffs Harbour Bypass and the $1B M1 Motorway Extension Southern Package.

About the role

The Document Controller plays a key role in supporting the pre-contracts team throughout the bidding and tendering process for major engineering projects. Based within an integrated tender office, this role sits at the centre of the bid process, helping to drive well-organised submissions.

You will manage and coordinate all bid documentation, including the setup and control of SharePoint systems, while working closely with a multidisciplinary team to ensure tenders are planned, managed and delivered to a high standard. This is a great opportunity to be involved in high-profile bids and contribute directly to successful, professional proposals.

Specific activities will include:

  • Download, manage and organise bid documentation, including technical specifications, drawings, pricing sheets, and contractual terms.
  • File documents in physical and digital records.
  • Manage the flow and distribution documentation within the tender team.
  • Maintain up to date master client document register.
  • Ensure all bid documents are stored in an organized and accessible manner using document management systems.
  • Support the creation of high-quality tender templates and the upload of submission documents.
  • Ensure Final submissions are saved to internal Submission Library.

 

Qualifications and Experience:

  • Certificate IV in Office Administration or equivalent.
  • Minimum 3–5 years’ experience in a document control or administrative role, preferably in tendering or project environments.
  • Proven experience with SharePoint, including initial site configuration, managing permissions, and maintaining up-to-date manuals and user guides.
  • Demonstrated ability to manage incoming and outgoing client correspondence efficiently.
  • Experience supporting internal RFI processes, including coordinating approvals and inputs.
  • Strong communication skills, with experience acting as a primary point of contact for internal teams, clients, and contractors regarding bid or project documentation.
