Job Summary

As an Executive in the Group Procurement Office (GPO), you will play a key role in supporting the Assistant Manager/Manager in overseeing the end-to-end sourcing process, your duty will include managing supplier relationships, involve coordinating with various departments to understand their needs in preparing the tender documents, and ensuring compliance with company policies and procedures. Your background in Quantity Surveying / Construction Management /Building Surveying or similar disciplines will be valuable in managing cost optimization, supplier performance, and risk assessments across the supply chain.

Key Responsibilities

Serve as the primary contact for vendors , addressing any issues arising from the E-Procurement system (Ariba)
• Support the preparation and issuance of tender packages, ensuring that the RFT (Request for Tender) checklist is updated and all required returnable documents are properly included and complete.
• Assist vendors with queries or clarifications during the tender submission period and track bid submissions, ensuring all vendors adhere to deadlines and comply with tender requirements.
• Compile data into evaluation templates, ensuring all criteria are met and decisions are thoroughly documented.
• Assist in awarding the tender to the selected vendor, ensuring all necessary approvals are obtained prior to contract signing.
• Performs research to identify potential suppliers, analyzing market trends, prices, and the capabilities of vendors.
• Maintain continuos communication with suppliers to address any issues or concerns, fostering a positive and productive long-term relationship.
• To comply and adhere to all matters pertaining to Quality, Safety & Health and Environment related to the job scope and work place as required by the Company.
• Any other duties that will be assigned from time to time by the Management.

Qualifications

• Candidates must possess a Bachelor’s degree / Diploma in Quantity Surveying /Construction Management /Building Surveying or similar disciplines.
• Candidate with 2 to 5 years of relevant experience

• Understanding of Procurement Processes: Knowledge of procurement best practices, including supplier selection, tendering, contract management, and negotiations.
• Supplier Relationship Management : Ability to build and maintain long-term relationships with suppliers, ensuring they meet quality standards, deliver on time, and offer competitive prices.
• Supplier Performance Evaluation: Regular assessment of supplier performance based on quality, delivery, and service, and ensuring continuous improvement.

Skills & Abilities

• Strong interpersonal skills with a solutions-driven approach in managing cross-functional stakeholders and coordinating efforts effectively.
• Good analytical, communication, and problem solving skills, with the ability to analyze data, communicate clearly with stakeholders, and find solutions to challenges.
• Effectively multitask by managing competing priorities, deadlines, and stakeholders.
• Proficient in MS Office, particularly Excel for data analysis and reporting.
• Knowledge of procurement software and systems (e.g., Ariba, SAP) is an added advantage.

Expected Minimum Years of Experience

2 - 5 years relevant experience
