Job Summary

The Admin Officer Cum Document Controller plays a dual role, responsible for providing administrative support and ensuring efficient document management within the organization. This role involves handling general office duties, organizing project documents, maintaining records, and supporting project teams by ensuring timely access to accurate information. The ideal candidate is highly organized, detail-oriented, and able to manage both administrative tasks and document control duties effectively.

Key Responsibilities

  • Administrative Support: Manages office operations, schedules meetings, handles communication, and maintains records and office supplies.

  • Document Management: Implements and maintains a system for organizing and storing project documents, including drawings, contracts, and reports.

  • Document Tracking: Ensures document revisions are tracked and distributed to relevant stakeholders, meeting deadlines and compliance standards.

  • Project Support: Assists project teams by managing document submissions and providing administrative support during project handovers.

  • Compliance & Auditing: Conducts regular audits of document control systems to ensure accuracy and adherence to company standards.

Qualifications

  • Minimum Diploma in Business Administration, Office Management, or related field.
  • 2+ years of experience in an administrative or document control role, preferably in a construction or engineering environment.
  • Experience in document control within a construction or engineering environment.
  • Familiarity with ISO standards and quality management processes.

Skills & Abilities

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and document management software.
  • Strong organizational and time management skills with attention to detail.
  • Excellent communication skills, both written and verbal.
  • Ability to multitask and prioritize tasks in a fast-paced environment.
  • Knowledge of document control best practices and experience with document management systems is an advantage.
