Job Summary

The Officer - Accounts & Administration is responsible for performing a combination of accounting duties and administrative support functions within the Finance & Accounting department. This role ensures accurate financial record-keeping, efficient administrative processes, and contributes to the smooth operation of the finance team. The Officer will work under supervision but with increasing independence, supporting various accounting cycles and providing essential administrative assistance to maintain departmental efficiency. 

Key Responsibilities

  • Process accounts payable, including verifying invoices, obtaining approvals, and preparing payment runs. Process accounts receivable, including issuing invoices, tracking collections, and applying customer payments. 

  • Perform daily and monthly bank reconciliations, identifying and investigating variances. Prepare and post journal entries for various financial transactions (e.g., accruals, prepayments, reclassifications). 

  • Assist with general ledger maintenance and ensure proper classification of accounts. Process and review employee expense reports for compliance with company policies. Assist in preparing various financial reports, schedules, and analyses as required by senior accountants or management. 

  • Support month-end and year-end closing activities, ensuring timely completion of assigned tasks. Manage office supplies inventory, place orders, and ensure adequate stock levels for the department. 

Qualifications

  • Bachelor's degree in Accounting, Finance, or a related field. 

  • Proven experience in an accounting or finance support role. 

  • Strong understanding of accounting principles (e.g., GAAP or IFRS). 

  • Proficiency in Microsoft Office Suite, particularly advanced Excel skills (e.g., VLOOKUP, pivot tables, basic formulas).

  • Meticulous in data entry, reconciliation, and record-keeping to ensure financial precision and minimize errors. 

  • Strong ability to manage multiple tasks, prioritize effectively, and maintain meticulous financial and administrative records. 

  • Excellent written and verbal communication skills for effective interaction with internal teams, vendors, and customers. 

  • Ability to identify discrepancies, analyze financial data, and assist in resolving accounting and administrative issues.
