Gamuda Engineering is a reputable Engineering contractor specialising in the design, construction, operation, and maintenance of major Transport, Civil, and Energy Infrastructure projects. With a proven track record in delivering innovative and complex infrastructure projects in Australia and internationally, Gamuda’s strategy is to invest in, develop, and construct large-scale renewable energy projects with a focus on wind, solar, and Battery Energy Storage System (BESS) developments and EPC projects.


We are currently mobilising our team to deliver one of Victoria’s most significant renewable energy projects in southwest Victoria.

 

About the Role
We are seeking a proactive, highly organised Site Administrator to provide essential support across site office coordination, project administration, and document control for the Mortlake Hybrid Solar & BESS project.


In this combined role based on-site in Western Victoria, you will ensure the smooth day-to-day operation of the site office while managing project documentation, transmittals, version control, and records management systems to keep site operations running seamlessly.

Key Responsibilities:

•    Manage project document control systems (e.g., TeamBinder, ACC, or similar EDMS), issuing and tracking document transmittals, drawings, design packages, and formal correspondence between site teams, clients, and subcontractors.
•    Maintain accurate document registers, drawing logs, and comment registers, ensuring strict version control, revving, and structured filing of all technical and operational project records.
•    Oversee day-to-day site office administration, including managing office facilities, cleaners, office defects, site supplies, and stationery/PPE orders with external vendors.
•    Assist with processing site financial records, including invoices, credit card reconciliations, expenses, and purchase requisitions.
•    Coordinate site onboarding activities, site inductions, and compliance records for staff, subcontractors, and visitors across project systems.
•    Provide administrative support to project functional teams (commercial, procurement, HSEQ, and engineering) and assist site leadership with calendar management, meeting agendas, correspondence, and monthly report collation.

 

Skills and Experience
•    Prior experience in a Site Administrator, Project Administrator, or Document Controller role within major construction, civil engineering, or renewable energy infrastructure projects.
•    Practical experience utilizing Electronic Document Management Systems (EDMS) such as TeamBinder, ACC, Aconex, or SharePoint for document distribution, transmittals, and register management.
•    Strong proficiency in MS Office (Outlook, Word, Excel, PowerPoint) with high attention to detail in record-keeping, formatting, and database administration.
•    Strong multi-tasking, organizational, and problem-solving skills with the ability to manage competing priorities in a fast-paced site environment.
•    Excellent interpersonal skills with the ability to build strong working relationships across site engineering teams, clients, subcontractors, and suppliers.
