About the Project

 

The project operates within the Rail Plant Operations environment, supporting the delivery of large-scale infrastructure and operational works. It involves coordinating multiple stakeholders including project managers, subcontractors, suppliers, clients, and regulatory bodies to ensure project objectives are met efficiently and in compliance with company standards.

A strong focus of the project is on financial governance, reporting, and operational efficiency, ensuring accurate cost tracking, timely payments, and effective management of subcontractor claims and supplier relationships. In addition, the project requires adherence to strict health, safety, quality, and compliance frameworks, alongside maintaining effective communication across all parties involved.

The project environment is fast-paced and deadline-driven, with a high volume of transactional and administrative activity that supports overall project performance and successful delivery outcomes.

 

About the role

 

The Site Administrator plays a critical support role within the project team, responsible for delivering comprehensive administrative and financial coordination services.

Key Responsibilities

The role is heavily focused on both financial administration and general office/project support, including:

  • Managing purchase orders, subcontractor payments, and invoices, ensuring all financial transactions are accurate and processed on time
  • Supporting month-end processes, including cost reporting, reconciliations, and financial tracking
  • Assisting with project reporting, including monthly reports, progress claims, and project valuation data
  • Maintaining and updating financial systems and databases (e.g., JDE), including supplier setups and cost codes
  • Monitoring cash flow, debtor ledgers, and credit applications, while assisting with debt collection activities
  • Ensuring smooth document control and communication across stakeholders

In addition to financial responsibilities, the role acts as the central administrative hub for the site by:

  • Coordinating meetings, taking minutes, and managing correspondence
  • Overseeing office operations, supplies, and general management requirements
  • Supporting health, safety, and compliance systems (e.g., Pegasus)
  • Managing building access, facilities issues, and general logistics

Role Impact

This position is essential in ensuring that the project runs efficiently by:

  • Providing accurate financial control and reporting
  • Supporting project teams and leadership with timely information
  • Maintaining strong relationships with clients, subcontractors, and internal stakeholders
  • Enabling compliance with company policies and regulatory requirements

The role requires a high level of attention to detail, organisation, and the ability to manage competing priorities in a fast-paced environment, while working both independently and collaboratively.

 

Experience & Capabilities

 

  • A valid C‑class WA driver’s licence is mandatory.
  • Previous experience in project and/or site administration, ideally within the rail, construction, or large infrastructure sectors.
  • Experience in workforce mobilisation and onboarding processes, including compliance and safety requirements.
  • Experience with the Rail Industry Worker (RIW) system or equivalent industry competency platforms is desirable.
  • Experience supporting site operations such as procurement, reporting, documentation control, and cost tracking.
  • Strong background in financial administration, including high-volume documentation handling, invoicing, and cost-related processes.
  • Ability to work effectively in fast-paced project environments, adapting to changing priorities and demands.
  • Strong organisational and time‑management experience, managing multiple priorities with accuracy and efficiency.
