Job Summary
The IT Executive – Administration is responsible for managing administrative tasks and providing basic IT support to ensure the efficient operation of the LRT Project offices. Key responsibilities include coordinating procurement activities, managing office inventory, organizing meetings, and handling administrative duties with precision and confidentiality. The role requires strong organizational skills and effective communication to manage time-sensitive tasks effectively.
In addition to administrative duties, the role includes providing basic IT support, such as troubleshooting minor issues and coordinating with the IT team for escalations. The candidate will ensure compliance with company policies while maintaining smooth operations.
Key Responsibilities
- Manage department purchases by processing procurement requests, coordinating with vendors, and verifying deliveries.
- Handle administrative tasks, including filing, email correspondence, and travel arrangements for IT-related operations.
- Manage the Head of Department’s (HOD) appointments, preparing relevant documentation for review, approval, and endorsement.
- Organize meetings (internal and external), including booking venues, arranging accommodations, and preparing meeting minutes.
- Maintain inventory for IT and office supplies, monitoring stock levels, and expediting orders as necessary.
- Assist in preparing and reconciling expense reports and regularly scheduled departmental reports.
- Provide basic IT support, including coordinating IT tickets, troubleshooting minor issues, and liaising with the IT team for escalations.
- Any other duties that may be assigned from time to time by the management.
- To comply and adhere to all matters pertaining to Cybersecurity, Quality, Safety & Health and Environment related to the job scope and workplace as required by the company.
Qualifications
- Understanding of office administration and procurement processes, including vendor coordination and inventory management.
- Proficiency in basic IT systems and desktop operation support.
- Excellent multitasking and organizational skills to manage administrative and IT support tasks efficiently.
- Good interpersonal and communication skills
Skills & Abilities
- Ability to troubleshoot and resolve basic desktop and hardware issues.
- Familiarity with procurement workflows and maintaining accurate records for IT assets.
- Proficiency in Microsoft Office Suite and basic IT support tools.
Expected Minimum Years of Experience
- Education: Diploma or bachelor’s degree in business administration, IT Management, or a related field.
- Experience: Minimum 1 year of experience in administrative and procurement tasks.
