About the role
We are seeking a highly organised Project (Procurement) Administrator to support the delivery of the High Capacity Signalling (HCS) program a complex, large‑scale rail infrastructure project transforming Melbourne’s rail network.
Reporting to the Senior Procurement Engineer, you will play a key role in supporting the end‑to‑end requisition and procurement process. Acting as a central coordination point, you will work closely with project teams, suppliers, procurement and warehouse teams to ensure materials, equipment and services are sourced efficiently and in line with project governance requirements.

Key Responsibilities
- Coordinate and administer the HCS requisition process from request through to purchase order and invoice processing
- Manage the intake of procurement requests, ensuring accuracy, completeness and compliance with project requirements
- Source suppliers and obtain quotations for project materials, equipment and services
- Liaise with suppliers to confirm pricing, availability and delivery schedules
- Prepare and submit procurement requisitions in line with internal approvals and governance frameworks
- Coordinate purchase order issuance with the procurement team and monitor order progress
- Maintain visibility of procurement status, delivery timelines and supplier commitments
- Support delivery coordination, including liaising with suppliers and internal stakeholders on delivery updates
- Ensure invoices and supporting documentation are correctly uploaded and recorded in project systems
- Maintain accurate procurement records to support audit, reporting and compliance requirements
- Work in alignment with HCS Alliance values including integrity, collaboration, health & wellbeing, and accountability
About You
You are a proactive and detail‑oriented administrator with experience supporting procurement or purchasing activities in a project environment. You enjoy working collaboratively, can juggle multiple priorities, and take pride in keeping processes running smoothly.
You will bring:

- Experience in a procurement, purchasing or project administration role
- Exposure to requisitions, purchase orders, supplier coordination and invoice processing
- Familiarity with procurement or ERP systems (SAP, Oracle or similar)
- Strong organisational skills with excellent attention to detail
- Confident communication skills and the ability to engage with multiple stakeholders
- Proficiency in Microsoft Office, particularly Excel
- An understanding of procurement governance and compliance requirements
- Experience in infrastructure, construction or rail projects (highly regarded)
- Certificate IV or Diploma in Procurement, Business Administration, Supply Chain or a related discipline (desirable)
